Cancellation, Refund & Changes Policy

 

Cancellation by Customer

If you or any member of your party wishes to cancel a booking, notification must be submitted in writing via email to MTA Destination Management Company. The cancellation will be effective from the date written notice is received by our Tours Department.

Cancellation charges will apply as follows:

Days Before Departure

Cancellation Charges

More than 30 days

10% of the total tour cost + 100% of flight/train ticket costs (if applicable)

29 – 15 days

50% of the total tour cost + 100% of flight/train ticket costs (if applicable)

14 – 8 days

75% of the total tour cost + 100% of flight/train ticket costs (if applicable)

7 days or less

100% of the total tour cost + 100% of flight/train ticket costs (if applicable)

Please note:

  • Deposits may include the full cost of flights, train tickets, permits, safaris, or other non-refundable services.
  • Certain hotels, cruises, wildlife lodges, and special event bookings may impose stricter cancellation terms. Where applicable, these conditions will be advised at the time of booking.
  • Any applicable bank charges, payment gateway fees, foreign exchange losses, or transfer fees are non-refundable.

Changes to Confirmed Bookings

Any amendment requested after confirmation is subject to availability and may incur additional supplier charges and administrative fees.

Where a cancellation results in a reduction in the number of travelers, the package price may be recalculated based on the revised group size and re-invoiced accordingly.

Cancellation Due to Unavoidable and Extraordinary Circumstances

You may cancel your holiday before departure without cancellation charges if unavoidable and extraordinary circumstances significantly affect the operation of the holiday or transportation to the destination.

Such circumstances may include:

  • War or terrorism
  • Government travel restrictions
  • Natural disasters
  • Major public health emergencies
  • Severe weather conditions preventing safe travel

In such cases, we will provide a refund of recoverable monies received from suppliers. No additional compensation will be payable.

Changes or Cancellation by Us

We reserve the right to modify itineraries, accommodations, transportation, sightseeing schedules, or other travel arrangements when necessary.

Minor changes may be made without compensation and may include:

  • Changes in airline schedules
  • Changes of accommodation to a similar or higher category
  • Changes in transportation providers
  • Minor itinerary adjustments

In the unlikely event that a significant change or cancellation becomes necessary, we will offer one of the following options:

  • Acceptance of the revised arrangements;
  • An alternative holiday of comparable value (subject to availability);
  • A refund of all monies paid for the affected services.

Force Majeure

MTA Destination Management Company shall not be liable for any loss, delay, cancellation, additional expense, or compensation arising from circumstances beyond our reasonable control.

These may include but are not limited to:

  • Natural disasters
  • Floods, earthquakes, cyclones, or severe weather
  • War, civil unrest, riots, or terrorism
  • Government actions or travel restrictions
  • Epidemics, pandemics, or public health emergencies
  • Airline operational disruptions
  • Strikes, lockouts, or industrial actions
  • Transportation failures or unforeseen technical issues

In such circumstances, we will make reasonable efforts to provide alternative arrangements or recover refunds from suppliers wherever possible, but compensation will not be payable.

Refund Processing

Approved refunds will be processed to the original payment method whenever possible.

Refund processing may take 7–21 business days depending on supplier approvals, banking procedures, and payment gateway processing times.
